Overview

Harvest is IN's time-tracking platform. Timesheets must be submitted no later than EOD Monday for the previous week. All team members are expected to track time daily.

Billable Job Tasks (by Department)

For all RFP and active projects, track your time to your department's billable job task attached to your job code:

  • Account Management
  • Business Development
  • Content
  • Creative Design
  • Creative Strategy
  • Finance & Operations
  • Media
  • Production

Important: Harvest defaults to the Account Management task — always re-select your department. You bill to YOUR department, not the type of work you're doing. If you worked on a budget as a media strategist, bill to Media, not Finance & Operations.

New Business Codes (Non-Billable)

Use IN - New Biz / Biz Dev for new business work (not RFP work). Primarily used by Accounts and Biz Dev teams:

Internal Time Codes (Non-Billable)

Use IN - Internal Time for non-project work:

  • Internal Meetings & Team Time: Town Halls, Weekly Team Meetings, Department Meetings, Team Outings
  • Downtime: Break, Recess, Lunch
  • Learning & Development: Drawing Inspo, Client Industry Research, Professional Education
  • Admin and Management: Time Tracking, Expenses, Admin Tasks, Team Reviews
  • IN Branding & Agency Work: Awards Submissions, Agency Branding, PR, Process Building
  • Summer Fridays
  • Other: Catch-all to help combat inflated hours against billable projects

Having non-billable work on your timesheet is not a flag. Add descriptions of the work when tracking time so approvers can manage and re-allocate if needed.

Time Off / Holiday Codes

Use IN - Time Off for days off:

  • PTO: Vacation, Sick Day, Personal Day
  • Holiday: Recognized by Company Calendar
  • FTO & Comp Time

Always record a full 8 hours when using time off codes.

Shortcuts & Extensions

Google Calendar Extension

  1. Download from getharvest.com/integrations
  2. Go to Harvest > Timesheet > Day view (extension won't work in Week view)
  3. Click the green "Track Time +" button
  4. Your calendar pops out on the left — click items to add to your timesheet
  5. Assign a project and click Save Entry

Chrome Extension

  1. Download from getharvest.com/integrations
  2. Click the Harvest icon in your Chrome toolbar
  3. Select the project to track time against
  4. Click Start Timer — icon turns orange when tracking
  5. Click again to stop when done
