Overview
The Production Department Weekly is a standing meeting held every week to review active projects, upcoming milestones, staffing needs, and department-level issues. All production team members attend.
Standard Agenda
- Active Project Updates — Each Lead Producer gives a 2-3 minute status update covering:
- Current phase (pre-pro, load-in, operational, closeout)
- Key milestones this week
- Blockers or risks
- Staffing needs
- Upcoming Projects — Projects in the pipeline that will need production resourcing soon
- Staffing & Resourcing — Review freelancer availability, Wrapbook/Justworks onboarding status, and any conflicts
- Budget Flags — Any projects with budget concerns, overruns, or reconciliation issues
- Process Improvements — SOP updates, new tools, lessons learned from recent activations
- Open Floor — Any other items from the team
Meeting Rules
- Keep updates concise — deep dives scheduled separately
- Action items documented and assigned in real-time
- Meeting notes shared within 2 hours of meeting end
- If you can’t attend, send your update to the Head of Production in advance
